Combined Terms of Service and Privacy Notice

AthleteRegistry.org is powered entirely by information voluntarily contributed by current and former four-year college athletes across the 1,321 four-year institutions that field varsity athletics in the United States. The registry is athlete-driven, not institution-driven. Its purpose is to build a more accurate, athlete-centered picture of college athletics, and to give the programs you competed for a reliable way to stay in touch with the athletes who came through them.
AthleteRegistry.org is currently operated by Ash Huzenlaub as sole proprietor, doing business as AthleteRegistry.org, and is the foundation for HERO (Helping Empower Rewards and Opportunity), a sister platform being built to support and strengthen the future of college athletics. We intend to form HERO, Inc. (a company to be incorporated in Delaware) to operate AthleteRegistry.org and HERO. When HERO, Inc. is formed, the registry and all associated data, rights, and obligations under this policy will transfer to it, and by registering you consent to that transfer. Until then, all references in this policy to “we,” “us,” or “HERO” mean AthleteRegistry.org as operated by Ash Huzenlaub.
This document combines the Terms of Service and the Privacy Notice into one policy. It governs your use of AthleteRegistry.org. By registering or using the site, you agree to the practices, rights, and responsibilities described below.
1. Eligibility and Purpose
AthleteRegistry.org is for individuals who are, or were, varsity athletes at a four-year U.S. college or university, and who are 18 years of age or older. To register, you must:
- Be a current or former varsity athlete at a four-year U.S. institution.
- Be at least 18 years old.
- Submit only your own information, using your own email address.
- Register only once.
- Agree to these terms.
We may remove or restrict any submission that appears duplicated, invalid, or fraudulent, at our discretion, to protect the integrity of the registry.
2. What the Registry Is For
The registry exists to do one practical thing well: keep athletes connected to the programs they competed for. Universities lose reliable contact with most of their athletes within a couple of years of graduation or transfer. By registering once, in one national place, you help rebuild that connection for the schools you choose, and you help create an accurate, athlete-driven snapshot of college athletics.
3. Information We Collect
When you register, you voluntarily provide:
- Your name
- Your contact email
- Your sport(s)
- The university or universities where you competed (up to three)
- Academic information, such as degree type and track
- Scholarship or participation details
- Honors or distinctions
- State or country of residence
- Other non-identifying details used for aggregated analysis
You may also choose to provide optional narrative content, such as statements about your athletic experience or your ideas about the future of college sports.
We do not collect Social Security numbers, banking information, income, or any financial data.
You have the right to access, correct, or delete the information you submit at any time (see Sections 11 and 12). We do not sell your personal information, and we do not share it for third-party advertising.
4. The Schools You Select, and How Your Information Is Used
During registration you select up to three four-year institutions where you competed. By selecting a school, you expressly authorize AthleteRegistry.org to associate your submitted information and narrative responses with that institution, for the purposes described here.
Your name-free, identifier-free data (counts, percentages, trends by sport, school, state, conference, and graduation year) may appear on AthleteRegistry.org as aggregated, anonymous insights. No personal identifiers are ever shown publicly.
Your information’s path to the schools you selected depends on one thing: whether HERO launches. This is the single most important point in this policy, and it works as follows:
If HERO launches: Your registration also reserves your place for HERO. When HERO becomes available to you, the athletics departments and the coaches of your sport at the schools you selected will be able to reach you through HERO, and you will control those communications and be able to opt out at any time (except for notices necessary for account function). In this case, your contact email is not handed over to the universities directly — HERO is the opt-in pathway through which they reach you.
If HERO does not launch: The information you submitted — including your name, contact email, sport, years, academic and honors details, and your narrative responses — will be provided to the schools you selected, and only to those schools, so their athletics department, lettermen’s or alumni-athlete organization, and the coaching staff of your sport can update their own contact and alumni records. This is the registry fulfilling its core promise of reconnecting you to the programs you chose.
Either way, your information goes only to the institutions you yourself selected, and never to the general public or to unrelated third parties. Selecting a school is your authorization for that school to receive your information by whichever of the two paths above applies.
HERO notifications: You acknowledge and authorize that AthleteRegistry.org populates HERO, and that, if and when HERO is available to you, the athletics departments and sport coaches at the schools you selected may use HERO to notify you about matters important to their program. You will be able to manage these preferences and opt out within HERO.
5. Communications You Agree to Receive
By registering, you agree to receive communications from AthleteRegistry.org or HERO, Inc. (upon its formation), including:
- HERO onboarding invitations when the platform becomes available.
- Invitations to take part in athlete-driven surveys.
- Periodic messages supporting the mission of improving college athletics.
- Occasional offers, early-access opportunities, or discount codes from AthleteRegistry.org, HERO, or your alma mater’s partners. These will come only from AthleteRegistry.org or HERO. Your information will not be given to any third party for their own outreach without your separate opt-in consent.
You may unsubscribe from non-essential communications at any time. Certain system notifications may be required for account functionality.
6. Optional Narrative Submissions
If you voluntarily submit narrative content (testimonials, ideas, impact statements, survey responses):
- AthleteRegistry.org and HERO will not attach your name or personal identity to any publicly posted statement.
- Your narrative responses are shared with the schools you selected, by the path described in Section 4, because helping your program hear directly from its athletes is a core purpose of the registry.
- We may choose to display, or not display, narrative content in anonymous form on testimonial or athlete-idea pages or future sections of the site.
- We may edit, decline to post, or remove any narrative submission.
- You agree not to name identifiable individuals in your submissions. Any submission naming others will not be eligible for public posting.
If you do not agree with these terms, do not submit optional narrative content.
7. Accuracy of Metrics Displayed
Metrics on AthleteRegistry.org are based solely on voluntarily submitted data from a subset of current and former four-year college athletes. These metrics:
- Do not represent a complete count of all current or former four-year college athletes.
- Do not include athletes from two-year or junior-college programs.
- Should be read as directional trends among participating athletes.
- Are not confirmed or validated by universities or conferences.
For context, approximately 600,000 athletes compete in four-year varsity athletics in a given year, and a conservative estimate places the number of living former four-year college athletes at 8 million or more. The registry reflects only the athletes who have chosen to participate. As more athletes join, the metrics become more representative.
Members of the media or other parties reviewing these insights should consider the volume of submissions before drawing conclusions, and should avoid overstating representativeness until a substantial share of athletes have contributed.
8. Ownership of Data; No Scraping or Commercial Use
All datasets, metrics, aggregated insights, visualizations, structures, narrative content, and design elements on AthleteRegistry.org are the proprietary property of AthleteRegistry.org (operated by Ash Huzenlaub, and upon its formation, HERO, Inc.). You agree that you will not:
- Scrape, harvest, copy, index, mine, or extract data from the site for commercial, research, machine-learning, or publication purposes without explicit written permission.
- Reproduce, distribute, commercialize, or create derivative works from the data or metrics.
Any media outlet or individual referencing data from AthleteRegistry.org agrees to credit AthleteRegistry.org clearly and visibly. Unauthorized extraction or commercial use is strictly prohibited.
9. Your Responsibilities and Ours
You agree to provide accurate information, submit only your own data, not impersonate others or submit fraudulent or harmful content, and not interfere with the site’s functionality or security. We may remove any data that appears incorrect, harmful, or inconsistent with the integrity of the registry.
10. How We Protect Your Information
We use commercially reasonable administrative, technical, and physical safeguards to protect your data, which is stored securely within the systems operated by AthleteRegistry.org (and, upon its formation, HERO, Inc.). No method of electronic transmission or storage is completely free of risk, and you acknowledge that AthleteRegistry.org and HERO are not liable for unauthorized access, disclosure, or alteration that occurs despite reasonable safeguards. We will not sell or transfer your personal identifying information to any party except the schools you selected, by the path described in Section 4.
11. Your Privacy Rights
You may, at any time, by contacting us at the email below: request a copy of the information you submitted; correct or update it; delete it; or withdraw your school-selection authorization. We honor these requests as required by applicable U.S. state privacy laws. We will verify your identity before acting on a request, and we will respond within the timeframes those laws require.
12. Deleting Your Information
You may request deletion at any time at the email below. Once verified, we will delete or anonymize your data unless retention is required by law. We may also delete a submission that appears inaccurate or fraudulent.
13. Intellectual Property
All platform design, code, data structures, content, visualizations, and analytics are protected by applicable intellectual-property laws. Unauthorized use is prohibited.
14. Service Changes and Availability
AthleteRegistry.org may modify, improve, or discontinue features as the platform evolves. We aim for accuracy and accessibility but do not guarantee uninterrupted or error-free operation.
15. Limitation of Liability
To the fullest extent permitted by law, AthleteRegistry.org and HERO disclaim liability for indirect, incidental, or consequential damages arising from your use of the registry or related communications, including damages arising from unauthorized access or disclosure despite reasonable safeguards.
16. Dispute Resolution
Any dispute must first be submitted in writing to the contact email below. Both parties will have 90 days to attempt resolution. If unresolved, the dispute will be settled by binding arbitration under the rules of a recognized arbitration service. You agree to be responsible for arbitration-related costs unless otherwise required by law. Class or collective actions are waived.
17. Governing Law
These terms are governed by the laws of the State of Delaware, without regard to conflict-of-law principles. If any provision is found unenforceable, the remaining provisions remain in full force.
18. Updates to These Terms
We may revise this combined Terms of Service and Privacy Notice from time to time. Continued use of AthleteRegistry.org after changes are posted constitutes acceptance of the updated terms.
